Class/appointment scheduling

Creating a new class

  • Click anywhere in the calendar week view to create a new class or private session
  • In the class details, select the following:
  • Activity: Pick from the list of available activities. You can define these in the Settings > Classes & studio setup > Classes or Appointments
  • Date and time
  • Duration: If you have set default duration for an activity in the Settings > Classes & studio setup > Classes or Appointment, then it will prefilled. If not, then it will be 1 hour, which you can adjust.
  • Instructor: Pick from the list of available instructors. You can define these in the Settings > Classes & studio setup > Instructors
  • Location: Pick from the list of available locations. You can define these in the Settings > Classes & studio setup > Locations
  • Comment: What you enter here will appear on the online booking site for your clients
  • Participants: Pick from the list of contacts, or create a new one on the spot
  • Once you're done, select the Submit button to save the class




Repeating a class

  • Select a class to see its details. Make sure that you are not in edit mode. If you are in edit mode, then you need to save the changes first.
  • In the top right, open the action menu.
  • Select Repeat.


  • In the next screen, select the number of weeks you want to repeat.
  • Click Next when you are done.

  • If you already had clients booked in the class, then you can copy them along in the future repeated classes. Select the ones that you want to carry along.
  • Click Submit when you are done.


Duplicating a class

  • Select a class to see its details. Make sure that you are not in edit mode. If you are in edit mode, then you need to save the changes first.
  • In the top right, open the action menu.
  • Select Duplicate.
  • This will create a new class in the same time slot as the original one.
  • You will still need to select the activity and other attributes before saving.
  • Note that you can't select the same instructor as the original class.



Sending a reminder

  • Select a class to see its details. Make sure that you are not in edit mode. If you are in edit mode, then you need to save the changes first.
  • In the top right, open the action menu.
  • Select Send reminder.


  • The default messaging app launch. This can be WhatsApp, SMS or email. This is defined in the settings. (Settings > Online booking > Messaging > Messaging app



Marking attendance and doing check-out

Attendance

  • Select a class to see its details. Make sure that you are not in edit mode. If you are in edit mode, then you need to save the changes first.
  • Select Mark attendance at the end of the class details.
  • There are two types of status: Attended or No-show.
  • For each client, mark them as attended or no-show.
  • You can mark them all at once using the buttons at the top.
  • Select the Save button when you are done, or click on the Checkout tab to continue doing the checkout.


Checkout

  • Select a class to see its details. Make sure that you are not in edit mode. If you are in edit mode, then you need to save the changes first.
  • Select Do checkout at the end of the class details .
  • For each client, you can see the package that they have and its remaining units or time.
  • Select the switch to do the checkout for each client. Units will be deducted from packages.
  • Select the Save button when you are done.
